Action Buttons

Action buttons are used to apply interactivity to your presentation. This can be in the way of jumping to other slides of the presentation, opening a webpage or opening files such as an Excel spreadsheet or video file.

This creates a nice flow to your presentation without the need to stop the presentation to access other files or pages on the Internet.

Insert an Action Button

  1. Display the slide you want to add the action button to
  2. Click the Shapes button in the Illustrations group of the Insert tab
  3. Select an action button from the choice at the bottom of the menu

  5. Click and drag to draw the button onto the slide. On releasing the mouse button, the Action Settings dialogue box is displayed
  6. A default action will be displayed in the Hyperlink to: box dependent on what button you chose. Click the drop list arrow and change the required action. Applying different actions is explained later in this tutorial

  8. Click Ok
  9. The action is applied to the button. Display the presentation in Slide Show view to test how this works

Jump to another slide

To jump to another slide on clicking the Action Button:

  1. Select Slide from the list
  2. The Hyperlink to Slide dialogue box is displayed
  3. Hyperlink to slide

    Select the slide you want to link to

  4. Click OK

Open a webpage

To open a page on a website or the company Intranet on clicking the Action Button:

  1. Select URL from the list
  2. The Hyperlink to URL dialogue box is displayed
  3. Hyperlink to URL

    Enter the web address for the webpage you want to open

    It is a good idea to copy and paste the web address into this box, rather than type it, to avoid possible typos or spelling mistakes. To paste the address you need to use the CTRL + V keyboard shortcut

  4. Click Ok

Open a file

To open another file such as an Excel Spreadsheet or video on clicking the Action Button:

  1. Select Other File from the list
  2. The Hyperlink to Other File dialogue box is displayed
  3. Locate and select the file you want to link to

  4. Click Ok

Adding an action to any PowerPoint object

Actions can be applied to any object on a PowerPoint slide such as a shape or a picture

  1. Select the object you want to add an action to
  2. Click the Action button in the Links group of the Insert tab
  3. Apply the required hyperlink in the Action Settings dialogue box
  4. Click Ok
