Import Data from Excel

Excel data can be imported into a PowerPoint presentation using Object Linking and Embedding. OLE, as it is known, is the method of copying data between Microsoft Windows applications.

Embedded objects are saved as part of the PowerPoint presentation. They can edited by double clicking on them. When editing the object, the Excel toolbars and menus will replace those of PowerPoint providing full functionality.

Linked objects remain in the original file and a link is created between the two files. When you double click on the object, the data will open in the original Excel file. If any changes are made to the Excel spreadsheet, they are automatically updated in the PowerPoint presentation.

Embedding Excel data

  1. Open the Excel spreadsheet that contains the data you want to import to your presentation
  2. Copy the range of cell or chart object that you want to include
  3. Switch to PowerPoint and select the slide you wish to copy the data to
  4. Click Edit > Paste Special
  5. Importing an Excel Object

    The Paste Special dialogue box displays a list of different formats available for your copied data. The options provided depend on the type of data you have copied. Formats can include HTML, Unformatted Text and picture formats

  6. Select the Paste option and the first format option which should be an Excel object
  7. Click Ok

Linking Excel data

  1. Open the Excel spreadsheet that contains the data you want to link to your presentation
  2. Copy the range of cell or chart object that you want to include
  3. Switch to PowerPoint and select the slide you wish to copy the data to
  4. Click Edit > Paste Special
  5. Linking Excel to PowerPoint

  6. Select the Paste Link option
  7. Click Ok
