Print Preview

Generally the worksheet will appear on paper as it does on screen. However this is not always the case and worksheets can become very large. There are additional commands to affect the printout of a worksheet and adjust it to your needs.

Print Preview allows you to check the appearance of your printout on screen before actually printing.

To view the Print Preview:

  1. Click the Office Button
  2. Select Print and then click Print Preview

It's a good idea to add the Print Preview button to the Quick Access Toolbar to make viewing Print Preview just the click of a button in future.

The example below shows the Print Preview of a large worksheet spanning 3 pages. The number of pages is displayed on the Status Bar at the bottom of the window.

Click the Next Page button in the Preview group of the Ribbon to advance to the other pages. Click Previous Page to go back. The printout is 3 pages wide and 1 page tall.

Click Close to return to the worksheet.
