Excel File Protection

Workbooks can be protected to prevent unauthorised changes.

A password can be set to prevent unauthorised users from opening the workbook, or to ensure they can only open a read only copy.

Save and protect a workbook

  1. Click File > Save As
  2. The Save As dialogue box is displayed

  3. Click Tools > General Options
  4. General options

  5. Enter a password in the Password to open and/or Password to modify fields
  6. Click Ok
  7. The Confirm Password dialogue box is displayed

  8. Re-enter the password
  9. Click Ok
  10. Finish saving the workbook as normal

On opening the workbook the user will be prompted to enter a password. In the image below the user has the option of opening a read only workbook, or entering a password to open it for modifying.

Protect an existing workbook

  1. Click Tools > Options
  2. Click the Security tab
  3. Security passwords

  4. Enter a password in the Password to open and/or Password to modify fields
  5. Click Ok
  6. Re-enter the password in the Confirm Password dialogue box
  7. Click Ok
